GUNGAHLIN COLLEGE P&C: Annual General Meeting
We invite our college community to the Parent and Citizens Association Annual General Meeting (AGM) on Wednesday, 3 April from 6.30pm in the College Conference room (at the front office) with an online option available by RSVP to michelle.jozing@ed.act.edu.au. In this meeting, our Principal, Priscilla Wray, will outline the expected highlights for the year ahead and the many opportunities for positive contributions to support the College's progress and improvement.
Those who attend the AGM will have the opportunity to elect the following committee member roles: President, Vice President, Treasurer, Secretary, Delegate to ACT Council of P&Cs, Grants Coordinator, Public Officer and Second-Hand Uniform Sales Coordinator. For more information about the roles, please see the descriptions below. Nominations can be sent to the current Vice President, Meredith Harkness, via gungahlincollegepandc@gmail.com or can be taken at the meeting. A regular meeting will follow the AGM. This meeting is expected to conclude by 8pm.
Everyone is welcome to come to P&C meetings and have an opportunity to have a say. We hope to see you there!
P&C Committee Member Roles
* these roles must be filled to maintain a viable P&C
President *
- Chair P&C meetings
- Provide leadership to the P&C
- Act as a spokesperson for the P&C
- Exercise some supervision of the functions of the other office bearers
- Present an annual report at the P&C AGM
Vice President
- Preside as chair at meetings where President is absent
- Be familiar with the operations of the P&C
- Undertake tasks to assist the President
Secretary *
- Prepare and circulate P&C meeting agendas and minutes, in consultation with President
- Maintain a register of those attending P&C meetings
- Act on decisions as directed by the meeting
- Attend to the correspondence of the association
- Complete ACT Council of P&C’s Office Bearers’ Form following AGM
Treasurer *
- Take responsibility for all funds received and expended by the P&C
- Act as co-signatory on P&C bank account
- Prepare report for general meetings
- Complete and lodge annual insurance renewal forms
- Arrange for annual audit of P&C finances and present audited financial statement at AGM
Delegate to ACT Council of P&Cs
- Attend monthly meetings of ACT P&C Council
- Represent the views of the Gungahlin College P&C at council meetings
- Report back to Gungahlin College P&C at general meetings
Grants Coordinator
- Actively monitor for appropriate grant opportunities for the P&C and College
- Liaise with the P&C and College regarding grant opportunities and complete applications approved by the P&C and College
- Act as a contact for all grant submissions
- Report on any available grants or grant applications at P&C meetings
Public Officer
- The Public Officer in an incorporated association is the point of contact between the association - must be a resident of the ACT and over 18 years of age
- Completing and submitting forms to the Access Canberra - Annual Return and Change to Committee / Public Officer Forms
Uniform Store Officer
- With support from Gungahlin College staff manage the second hand uniform store at Gungahlin College. This may include updating policy and uniform sales documents and running public uniform sales. Public sales usually occur twice a year at the year 11 information night and orientation day.
